White Stag Weddings & Events Terms & Conditions

 

Our Terms & Conditions have been set out to ensure all guests who enjoy the services of The White Stag Weddings and Events, do so safely and responsibly. Please read this information carefully as it contains important information about services provided by The White Stag.

1. DEFINITIONS

For the purpose of these terms and conditions, the following definitions apply:

‘Business Day’ means any day from Monday to Friday inclusive, except public holidays.

‘TWS’ means The White Stag and its managers, supervisors and employees.

‘TWS Services’ means the services managed and/or discharged at any given event.

‘Booking Form’ means the form provided to you prior to your event outlining the salient details of your function or event. 

‘Client’ means any individual or entity procuring any TWS service

‘Guest’ means any individual or entity procuring any of the TWS services or those in attendance at any event where TWS services have been booked. 

2. BOOKINGS

  • 2.1.  A tentative booking will be held for seven (7) days, following a written request reserving the date. This will automatically lapse should the booking deposit not be paid and the signed booking form returned to TWS within this period.

  • 2.2.  A booking fee of 25% and a signed booking form is required for a booking to be reserved and confirmed. In paying the booking fee, you confirm that you have read, fully understood and accepted the terms and conditions outlined in this document. Exceptions and extensions may apply at management’s discretion.

  • 2.3.  Rates and availability are subject to change unless an approved “Booking Form” and Deposit have been received.

  • 2.4.  TWS has the right to refuse a booking and refund any payments at its discretion.

3. SCHEDULE OF PAYMENTS

  • 3.1.  A 25% deposit is required within seven (7) days of booking. The deposit is to be paid with terms and conditions signed and returned before your booking is guaranteed. Tentative bookings without a deposit paid and terms and conditions signed will only be held for a period of seven (7) days. TWS reserves the right to release any tentative bookings after the seven (7) days.

  • 3.2.  30 calendar Days before your event, final payment to the TWS is required.

4. PAYMENT

  • 4.1.  Full payment of any services booked is required at least thirty (30) days prior to your event date. Services will not be provided without the final payment being received.

  • 4.2.  Any additional charges need to be settled on departure.

5. EVENT CANCELLATION

  • 5.1.  All cancellations are required in writing to contact@thewhitestag.com.au

  • 5.2.  Bookings cancelled prior to ten (10) months receive a full refund less a $250 administration fee.

  • 5.3.  If you cancel within six (6) months of the booked event date or if the full booking amount is not paid by the due date, the deposit and any subsequent payments are not refundable unless the TWS is rebooked for an event for the entire period. If the TWS is rebooked for a wedding a $250 administration fee will apply.

6. RESPONSIBLE SERVICE OF ALCOHOL

  • 6.1. All guests must abide by the relevant State liquor licensing laws. 

  • 6.2. All guests must treat TWS staff, affiliates or contractors with respect whilst they administer their duties under the relevant liquor licensing laws.

  • 6.3. TWS has the absolute right to refuse service to any individual(s).

  • 6.4. TWS has the absolute right to cease service immediately and completely without refund if staff feel threatened, intimidated or unsafe.

  • 6.5 TWS and it’s staff are not responsible for any additional alcohol brought to the venue or made available at the venue other than that previously supplied by the client

7. GENERAL CONDUCT

  • 7.1. TWS staff, affiliates or contractors reserve the absolute right to cease all services immediately and completely without refund if staff feel threatened, intimidated or unsafe.

  • 7.2 TWS has no responsibility to you for any costs, damages or expenses that you may incur in relation to TWS’s termination of its services at your event due to a breach of these terms & conditions.

  • 7.3 Guests must exercise respect towards TWS staff, affiliates or contractors at all times.

8. PHOTOGRAPHY

  • 8.1. Any professional photographs featuring TWS are to be provided to TWS for marketing purposes.

9. CIRCUMSTANCES BEYOND THE CONTROL OF TWS

  • 9.1.  If the TWS is unable to provide the facilities or any other arrangements for your event or any part thereof, or to otherwise perform the terms of this agreement and TWS’s failure is due to circumstances beyond its decision or control, TWS is not responsible for any costs, damages or expenses that you may suffer or incur.

  • 9.2.  If TWS assets or services become unavailable due to unforeseen circumstances, you the Guest will be notified in writing and TWS will endeavour to find you an alternate solution. Full monies will be refunded.

10. LOSS AND DAMAGE TO TWS PROPERTY

  • 10.1. You are responsible for all loss and damage to the property of TWS (including TWS Bar Float and any fixtures, furnishings or goods on or off the bar float) caused by or arising from any act or omission by you, your guests or any other persons attending your event or present.

In paying your booking deposit, these Terms & Conditions are binding upon the Guest.
