Terms and conditons

Our Terms & Conditions have been set out to ensure all clients and guests who enjoy the services of The White Stag Weddings and Events, do so safely and responsibly. Please read this information carefully as it contains important information about services provided by The White Stag.

DEFINITIONS

For the purpose of these terms and conditions, the following definitions apply:

‘Business Day’ means any day from Monday to Friday inclusive, except public holidays.

‘TWS’ means The White Stag and its managers, supervisors, staff and employees.

‘TWS Services’ means the services managed and/or discharged at any given event.

‘Booking Form’ means the form provided to you prior to your event outlining the salient details of your function or event. 

‘Client’ means any individual or entity procuring any TWS service.

‘Guest’ means any individual or entity in attendance at any event where TWS services have been booked. 

BOOKINGS

  • A tentative booking will be held for seven (7) days, following a written request reserving the date.

  • Bookings will automatically lapse if a booking deposit and signed T&C's are not returned within 7 days.

  • A booking fee of 25% plus signed terms & conditions is required for a booking to be reserved and confirmed.

  • In paying the booking fee, you confirm that you have read, fully understood and accepted these terms and conditions.

  • Exceptions and extensions may apply at TWS's discretion.

  • Rates and availability are subject to change unless our terms & conditions are signed and your deposit has been received.

  • TWS reserves the right to refuse a booking and refund any payments at its discretion.

SCHEDULE OF PAYMENTS

  • Payment 1 - a 25% deposit is required within seven (7) days of booking.

  • Payment 2 - 50% of total booking required no later than 3 months before your event.

  • Payment 3- Full balance required no later than 30 days from date of your event.

  • The deposit is to be paid with terms and conditions signed and returned before your booking is guaranteed.

  • Tentative bookings without a deposit paid and terms and conditions signed will be held for a period of seven (7) days.

  • TWS reserves the right to release any tentative bookings after the seven (7) days.

PAYMENT

  • Full payment of all services booked is required at least thirty (30) days prior to your event date.

  • Services will not be provided without the final payment being received.

  • Any additional charges incurred during your event are to be paid in full by the client prior to our departure on the date of your event.

EVENT CANCELLATION

·         All cancellations are required in writing to contact@thewhitestag.com.au

·         Bookings cancelled prior to ten (10) months from your event date will receive a full refund less a $500 + gst administration fee.

·         If you cancel within six (6) months of the booked event date or if the full booking amount is not paid by the due date, your deposit and any subsequent payments are non refundable unless the TWS is rebooked for an event on the same date.

·         If the TWS is rebooked for a wedding a $500 + gst administration fee will apply.

RESPONSIBLE SERVICE OF ALCOHOL

  • All clients and guests must abide by the relevant State liquor licensing laws. 

  • All clients and guests must treat TWS staff, affiliates or contractors with respect whilst they administer their duties under the relevant liquor licensing laws.

  • TWS has the absolute right to refuse service to any individual(s).

  • TWS service of spirits as part of your booking is from 7pm onwards unless agreed in writing.

  • TWS packages include service of up to 10 different drink variations across your choices, unless agreed in writing no less than 4 weeks from the date of your event.

  • TWS has the absolute right to cease service immediately and completely without refund if staff feel threatened, intimidated or unsafe.

  • TWS and its staff are not responsible for any additional alcohol brought to the host venue or made available at the venue other than that previously supplied by the clients and/or guests.

  • TWS and its staff are not responsible for any additional alcohol brought to the host venue or made available at the venue other than that listed on the pre-agreed drinks list.

GENERAL CONDUCT

  • TWS staff, affiliates or contractors reserve the absolute right to cease all services immediately and completely without refund if staff feel threatened, intimidated or unsafe.

  • TWS bears no responsibility to the client and guest for any costs, damages or expenses that you may incur in relation to TWS’s termination of its services at your event due to a breach of these terms & conditions.

  • Clients and guests must exercise respect towards TWS staff, affiliates or contractors at all times.

GENERAL CONDUCT

  • TWS staff, affiliates or contractors reserve the absolute right to cease all services immediately and completely without refund if staff feel threatened, intimidated or unsafe.

  • TWS bears no responsibility to the client and guest for any costs, damages or expenses that you may incur in relation to TWS’s termination of its services at your event due to a breach of these terms & conditions.

  • Clients and guests must exercise respect towards TWS staff, affiliates or contractors at all times.

GENERAL SERVICE

  • Unless otherwise agreed in writing and paid for as a specific service, TWS is not responsible for;

  • Table service of guests at an event.

  • Table water glasses or jugs for an event.

  • Drinks service from any other location at a venue other than the main bar.

  • Storing or serving of any alcohol supplied by guests for their own consumption.

PHOTOGRAPHY

  • Any professional photographs featuring TWS are to be provided to TWS for marketing purposes.

CIRCUMSTANCES BEYOND THE CONTROL OF TWS

  • If the TWS is unable to provide the facilities or any other arrangements for your event or any part thereof, or to otherwise perform the terms of this agreement and TWS’s failure is due to circumstances beyond its decision or control, TWS is not responsible for any costs, damages or expenses that you may suffer or incur.

  • If TWS assets or services become unavailable due to unforeseen circumstances, you the client will be notified in writing and TWS will endeavour to find you an alternate solution. Full monies will be refunded.

LOSS AND DAMAGE TO TWS PROPERTY

  • The clients and guests are responsible for all loss and damage to the property of TWS (including TWS Bar Float and any fixtures, furnishings or goods on or off the bar float) caused by or arising from any act or omission by you, your clients and guests or any other persons attending your event or present.

In paying your booking deposit, these Terms & Conditions are binding upon the clients and guests.
